At LeSoft, we ensure that all documents managed within Documanta are handled in line with UK data protection laws, including the UK GDPR and Data Protection Act 2018. 

Document Retention 

  • Retention Schedules: Each document type (e.g., employee records, payroll, contracts) is assigned a predefined retention period based on legal and regulatory requirements. 
  • Automatic Expiry Alerts: Admins receive notifications when documents are approaching the end of their retention period. 
  • Secure Disposal: Upon expiry, documents are either securely archived or permanently deleted, in accordance with ICO best practices for data minimisation. 

Document Permissions 

  • Granular Access Control: Role-based access ensures only authorized users can view, edit, or share documents. 
  • Audit Trail: All document actions (upload, download, edit, delete) are logged and auditable to support compliance. 
  • Version History: Full version control with rollback options to maintain accuracy and traceability. 

Compliance Features 

  • Right to Erasure: Individuals’ documents can be deleted upon verified request. 
  • Restricted Sharing: Sensitive files are protected from unauthorized sharing via watermarking and restricted link access. 
  • Encryption: All documents are encrypted at rest and in transit using industry-standard protocols.
